Privacy for Propel Rooms

This notice describes how Propel Earth, Inc. uses information when you apply for, register for, attend, or receive updates about an event organized by our team through Propel Rooms, or contact our team.

Information and how we use it

When you use the contact form, we collect your name, email address and message so our team can review your request and respond by email. Sending a message does not subscribe you to marketing.

A registration may include your name, email address, event and ticket selection, and answers to questions on that event’s form. Some forms may also show an optional, initially unchecked choice to receive news and event updates from the organizer. We use registration details to issue and manage tickets, send event information, handle attendee changes or cancellations, and manage attendance and check-in.

For events that require an application, we collect your name, email address, chosen date and answer to the event’s application question. Our team uses these to review your application, record its decision and send application messages. An application does not reserve a place. Acceptance creates a ticket; declining or withdrawing an application does not. Applying does not subscribe you to marketing.

Your application email contains a private link for viewing its status and withdrawing a pending application. Anyone with that link can use those controls, so keep it private. The link does not display your name, email address or application answer. Authorized staff can view the application and replace its private link if needed.

We record ticket and attendance status, including check-in. Technical request logs may include your IP address, browser information, requested URL, and request outcome. Some ticket and order links contain access identifiers, so a logged URL may include an identifier for those links.

To improve event discovery, Rooms keeps daily totals of homepage visits, event pages opened from the homepage, submitted searches with or without results, and clicks to the Propel community or the Rooms enquiry form. These totals contain only the date, action, organizer, optional event and count. We do not store the search text, a visitor identifier or a browsing history in these totals, and this measurement adds no cookies or browser storage and sends no data to an external analytics service. The browser does not send these actions when it has an existing refusal of analytics cookies, Do Not Track or Global Privacy Control enabled. Community-link and enquiry-button clicks do not tell us whether you joined the community or submitted an enquiry.

Cookies and browser storage

Checkout uses a session cookie and browser session storage to maintain your checkout and let you access your order. A language choice may be stored in your browser.

Hosting, email, and external services

Propel Rooms is hosted on Microsoft Azure in the Central US region. Ticket and event email is sent through our configured Stalwart mail service at mail.markster.io.

An online event may include a link to an external meeting service. If you follow it, that service receives the connection information needed to provide the meeting and handles it under its own privacy terms.
